This notice explains what Garden County records, why it is needed, how it is protected and the choices available to you.

Who is responsible for your information

Garden County is responsible for the personal information described in this notice. Michael Clegg operates Garden County and can be contacted at hello@gardencounty.co.uk.

Use that address for any privacy question, objection or request to access, correct or erase information.

Information we use

If you contact us, we may use your name, business name, email address, phone number, preferred contact method, website, message and the service options you select. Basic security records may include a request time and network address.

For carefully controlled business prospecting, we may record an organisation’s name, legal form, official website, public business contact details, source URLs, factual website observations and our review history. We do not guess contact details, collect special-category information for prospecting or research personal social profiles.

Where information comes from

Information comes directly from you, from the organisation you represent, from its public business website, from authoritative public registers, or from another source whose provenance and permitted use have been reviewed.

A prioritisation list may tell us which organisation to review, but it is not treated as proof that a contact detail or claim is current.

Why we use it and our legal basis

We use enquiry information to respond to you, prepare a requested preview or quote, provide services, keep our systems secure and maintain necessary business records. Depending on the circumstances, this is necessary to take steps at your request, perform a contract, comply with law, or pursue our legitimate interests in operating and protecting Garden County.

Where legally permitted and only after our compliance checks, we may use limited public business information to send one relevant message to a verified corporate organisation. Our stated interests are introducing Garden County’s services and preparing a private, speculative website concept. We balance those interests against the recipient’s rights, use only the minimum information, provide an immediate opt-out and do not automate follow-ups. Where consent is legally required, we do not rely on legitimate interests instead.

Email, previews and tracking

Resend processes outgoing email for Garden County. Replies are directed to hello@gardencounty.co.uk. We do not place tracking pixels in prospecting email, disguise links or use shortened redirect links.

Prospect previews are private. Before access they reveal no prospect-specific content. An approved recipient must request a one-use email code; the code expires after 10 minutes, the viewing session after 24 hours and the preview normally after 30 days.

Who receives information

We disclose only what is necessary to service providers that support hosting, private storage, database operation, security and email delivery, or to professional advisers and public authorities when lawfully required. Providers must act under appropriate contractual and security controls.

If a provider processes information outside the UK, we require an applicable UK transfer mechanism and safeguards before that processing is approved. We do not sell personal information.

How long we keep it

Our current conservative engineering schedule deletes rejected or uncontacted personal contact data after 90 days and unused source snapshots or assets 90 days after closure. Active evidence is reviewed at least annually; it must be checked again immediately before any approval. Private previews normally expire after 30 days.

Outreach and audit records are scheduled for 24 months, subject to the final approved retention policy. We retain only the minimum suppression information for as long as needed to honour an objection and avoid contacting the same recipient again. Legal, security or dispute requirements may justify a documented exception.

Your rights

Depending on the circumstances, you may ask for access, correction, erasure, restriction, portability or an explanation of how information is used. You may object to processing based on legitimate interests.

You may object to direct marketing at any time. We will stop using your information for that purpose immediately and keep only the minimum suppression record needed to respect your choice. Email hello@gardencounty.co.uk or reply ‘no thanks’ to a message.

Automation and complaints

Software and AI may help organise sources or draft a concept, but no model is allowed to decide legal eligibility, approve outreach or send a prospecting message. We do not make solely automated decisions that produce legal or similarly significant effects about prospects.

Material changes create a new version and are reviewed before use. This page describes the intended operating standard; live prospecting remains disabled until the required legal and owner approvals are recorded.
